General Procedure for Document Request
Any Colegio de San Juan de Letran Manila student and alumni may request copies of their scholastic records or certificates at any time.
  • Requests from individuals with outstanding liabilities will be processed only after clearance from the relevant office.
  • Graduate students on provisional status will not receive official documents until all admission requirements are fulfilled.
ONLINE

1. Visit registrar.letran.edu.ph to request online.

2. Click Apply Now, select With Student Number, and enter the required information for verification.

3. Specify the documents needed and the quantity.

4. Choose either Mailing or Pick-up. If mailing, provide the complete mailing address and Zip Code. Shipping rates for different countries are available in the drop-down list.

5. Review and verify all information. Once

ON SITE

1. Visit the Registrar’s Office and show your valid Identification Card to the Records Officer.

2. The Records Officer will retrieve your file from storage or access scanned files based on your graduation year.

3. If you're not present, provide an authorization letter along with photocopies of your ID and your representative’s ID.

4. The Records Officer will issue a payment slip or Statement of Account for the requisition fee.

5. Proceed to the Cashier to make the payment. Return the receipt to the Records Officer.

6. After verifying the payment, the Records Officer will issue a Claim Stub.

7. The processing time for the transcript is:

  • 5-7 working days for graduates from 2016 and above.
  • 7-10 working days for graduates before 1990.

8. Processing time for transfer credentials and other certificates is 2-3 working days (subject to availability of signatories).

General Procedure for Filing of Change of Grades

1. The Office of the Registrar will only entertain completion of "INC" grades from the previous semester. Grades from earlier semesters, except for Thesis (which has a one-year completion period), will not be processed.

  • Example: If it is currently the 2nd Semester of A.Y. 2022-2023, only completions for the 1st Semester of A.Y. 2022-2023 will be accepted.
  • Grades such as "UW," "IP," or "70" are to be filed directly by the professor with the Dean’s Office.

2. Completion fee is ₱75 per course/subject. Payment options include:

  • Letran Cashier's Office
  • Bank or online banking deposit:
    • Account Name: Colegio de San Juan de Letran
    • Bank: BDO-Intramuros
    • Peso Account Number: 004500003129
    • SWIFT Code: BNORPHM
  • If paying through the bank, send the deposit slip to gradecompletion@letran.edu.ph and cc to cashier@letran.edu.ph. Include the bank name, branch, time, and date in the email.

3. Use this format for the email subject:

  • Student Number-Last Name, First Name-Course Codes/Subjects to be Completed-Semester Taken

4. Once payment is verified by the Finance Department:

  • For bank payments, the CGF Form will be emailed to the student, who must forward it to their professor(s).
  • For payments made at the Letran Cashier’s Office, students must collect a hard copy of the CGF Form from the Registrar's Office.

General Guidelines and Procedure for Course Withdrawal/Dropping
Course Withdrawal/Dropping Guidelines

1. Types of Withdrawal:

  • Authorized Withdrawal (AW): Granted to students who formally apply and get approval from the Office of the Registrar.
  • Unauthorized Withdrawal (UW): If no formal withdrawal is filed, students receive a UW grade, treated as a failure and counted in retention policy.

2. Conditions for Withdrawal:

  • Timeline: Withdrawal applications must be submitted before mid-term exams.
  • Valid Reasons: Accepted reasons include illness, travel abroad, or similar situations, subject to approval.
  • Attendance Requirement: Absences should not exceed 20% of the total class hours.

4. Fees for Total Withdrawal:

  • First Week: 25% of fees charged if withdrawal is within the first week.
  • Second Week: 50% of fees charged if withdrawal is within the second week
  • After Second Week: Full fees are charged for withdrawals after the second week.
Procedure for Course Withdrawal/Dropping

1. Submit Application: File a formal request for partial or total withdrawal with the Office of the Registrar.

2. Approval: The request must be approved by the academic authority before midterm exams.

3. Provide Reasons: Document valid reasons for withdrawal (e.g., medical, travel) for approval.

4. Check Attendance: Ensure your absences do not exceed 20% of the total course hours.

5. Pay Fees: Depending on when you withdraw, you will be charged 25%, 50%, or 100% of the school fees.

6. Withdrawal Process: If approved, you will receive an AW (Authorized Withdrawal). If no application is filed, you will receive a UW (Unauthorized Withdrawal), which is a failing grade.

Leave of Absence

Leave of Absence (LOA)

  • Students intending to skip the next semester or take an extended break must file a Leave of Absence (LOA).
  • During the LOA, students are prohibited from enrolling in any other school. Violations result in no credits for enrolled courses.
  • An LOA is valid for up to two (2) school years and may be applied for a maximum of two times, with a total duration not exceeding four (4) years.
General Guidelines and Procedure for Re-Admission (Returnee Student)

Re-Admission (Returnee Student)

A "Returnee" refers to a student with an approved leave of absence who plans to resume studies at the Colegio. It also extends to those without an approved leave intending to return.

Returnees with an approved leave will, when possible, follow their original curriculum. Returnees without an approved leave will follow the current curriculum in effect.

The following do not qualify as returnees:

  • Long-staying students in violation of the Residence Policy
  • Students not re-admitted due to academic deficiencies (NTBR)
  • Students dismissed due to sanctions (non-readmission, exclusion, expulsion)
  • Students issued transfer credentials who enrolled elsewhere
General Guidelines and Procedure for Cross-Enrollment

Procedure for Cross-Enrollment:

1. The student obtains and fills out the Cross Enrollment Form from the Registrar's Office.

2. The student submits the completed form, with the Dean's recommendation, to the Registrar's Office.

3. The Registrar reviews the application within three working days.

4. The approved form is released along with the enrollment permit. Then, proceeds to the Admissions Office for the issuance of the student number.

5. The student proceeds with cross-enrollment.

6. The student submits the certification of grades from the other school to the Colegio.

7. The evaluator credits the enrolled subjects from the other institution.
